Inventory Intake
Purpose
To verify the accuracy and compliance of all incoming cannabis inventory. This includes matching manifests to physical product, inspecting packaging, updating inventory systems, and securing product after intake. CloudBox technology can be used to improve accuracy when weighing, labeling, or recording product quantities.

Timing
As deliveries arrive and intake happens, you MUST be sure all of ordered inventory is both accounted for and on time.
Steps
- Confirm Delivery and Authorized Personnel
- Verify that a scheduled delivery is taking place.
- Ensure the employee receiving the shipment is authorized and has access to intake tools.
- If CloudBox containers are used for the product category being received, confirm the correct container assignments before intake.
- Review the Shipping Manifest
- Check all required fields such as license numbers, shipment ID, product descriptions, and quantities.
- Confirm that the manifest matches the expected order.
- Inspect Packaging and Product Condition
- Open each box and visually inspect the contents for damage, labeling errors, or non compliant packaging.
- Reject or quarantine any items that do not meet regulatory requirements.
- If using CloudBox is used for weight based products, verify that initial weights match expected values.
- Match Manifest to Physical Product
- Compare each line item with the actual product received.
- Count and record the quantity of each SKU or package ID.
- Where CloudBox containers are implemented, assign new packages to the correct container to support future tracking.
- Cross Reference With Purchase Orders
- Ensure that SKUs, quantities, and pricing align with the original purchase order or invoice.
- Document any discrepancies for follow-up with the vendor or management.
- Enter Product Into the POS and Traceability System
- Log all items into the POS, inventory system, or traceability platform.
- Double check that package IDs and product information are recorded accurately.
- If CloudBox Link is being used, connect the package ID to the appropriate scale or container to enable automated tracking.
- Label Products as Required
- Apply barcodes, SKU tags, or state compliant labels if they are not already present.
- For CloudBox-enabled workflows, apply CloudBox identifiers or tags as needed.
- Secure Accepted Inventory
- Move intake-approved product into the vault or secured storage areas.
- Follow state rules for storage by product type.
- For CloudBox containers placed in storage, ensure each unit is properly positioned for accurate readings.
- Notify Management and Finalize Documentation
- Inform the Inventory Manager or General Manager that intake is complete.
- Submit the completed manifest and any discrepancy notes for review.
- Acknowledge Transfers in State Systems
- Confirm receipt in METRC, BioTrack, or the applicable state traceability system within the required timeframe.
- CloudBox data may be referenced to confirm accurate quantities when finalizing intake entries.
