Customer Check-In

Purpose

To verify customer eligibility, maintain compliance with age and ID requirements, and track customer flow into the dispensary. Proper check-in procedures help prevent underage access, reduce liability, and ensure that all customers are entered into the system correctly.

Role

 Receptionist
Security
Budtender

Timing

When a customer first enters the place of business.

Steps

  1. Greet the customer upon entry. Request a valid government-issued photo ID such as a driver’s license, passport, or state ID.
  2. Verify that the ID is not expired, and that the customer meets the age requirement for adult-use or medical access as defined by local law.
  3. If the customer is a medical patient, request their medical card or relevant documentation. Confirm that the name matches the ID and that the card is current.
  4. Check the customer into the system using your designated method. This could include scanning the ID, manually entering their information, or selecting them from an existing customer list.
  5. Add customer notes if applicable, such as order preferences or medical needs.
  6. If your facility requires waiting room clearance, notify the budtender when the customer is ready to be served.
  7. Track customer flow and ensure lobby limits are respected. If maximum capacity is reached, initiate a queue or waitlist process.
  8. If the ID is invalid or expired, politely deny access and document the event if required by store policy.
  9. If a customer behaves aggressively or poses a safety concern, notify security or management immediately.

Equipment

  • ID scanner or check-in software
  • Queue tracking tool (digital or manual)
  • Patient/Adult-use verification system
    Lobby capacity signage

Tip

Train front desk staff to spot fake or altered IDs. Use a reference guide or digital verification tool to compare IDs against state standards and reduce compliance risk.
