Inventory Control
Purpose
To ensure all cannabis products are stored securely, tracked accurately, rotated properly, and removed from inventory when required. This procedure supports compliance, minimizes discrepancies, and provides consistent structure for daily inventory operations. CloudBox technology may be used to support automated inventory tracking and more accurate inventory updates.
Roles
Inventory Manager
General Manager
Timing
Ongoing, daily, weekly, monthly depending on the state required audit laws and what you dictate internally to stay ahead of compliance.
Steps
- Secure Storage of All Cannabis Products
- Store all cannabis inventory in locked, restricted-access areas.
- When product is not on display, it must remain in secured rooms, cabinets, or vaults.
- CloudBox containers may be used to monitor access and maintain accurate weight or unit tracking while items are stored.
- Organized Inventory Layout
- Label products clearly with SKU, batch ID, strain name, and expiration date.
- Maintain a structured shelving or bin system to support efficient retrieval and oversight.
- CloudBox can be used to automatically detect quantity changes when products are removed or replenished, reducing manual counting needs.
- Product Rotation Using the FIFO Method
- Follow a first in first out rotation method to ensure older products are sold before newer ones.
- Move aging product forward for priority placement.
- CloudBox data may be referenced to identify slow moving inventory and aging items more quickly
- Controlled Movement of Inventory
- Move inventory only when required and only by authorized personnel.
- All internal transfers between storage rooms, sales floor locations, or vault areas must be logged.
- Handling Expired, Damaged, or Unsellable Product
- Immediately remove any expired, damaged, or compromised product from active inventory.
- Isolate these items in a designated quarantine area.
- CloudBox data may help identify anomalies in product weight or patterns that indicate damage or spoilage.
- Product Recall Procedures
- When a recall occurs, remove all affected products from inventory and follow state mandated documentation steps.
- Record the recall in the POS and in state traceability systems if required.
- CloudBox reporting may assist in identifying all affected containers or batches quickly.
- Product Destruction and Waste Recording
- Record all destruction events accurately using batch IDs, weights, and waste tracking logs.
- Two employees must witness and document each destruction event.
- If CloudBox is used, weight data can be referenced to support accurate waste documentation.
- Periodic Review of Inventory Areas
- Conduct regular checks of storage areas to confirm organization, cleanliness, and compliance with state requirements.
- Verify that displayed products match digital inventory records.
