Introduction

In this section, you’ll learn how to perform a cycle count using CloudBox Link on the desktop or web app version for cannabis operations. This process ensures your real-time inventory stays accurate and aligned with systems like METRC or BioTrack by automatically recording the latest container weights and unit counts.

Step-by-Step Tutorial

  1. Prepare for Cycle Counting
    • If removing containers from shelves, do so in small groups rather than one at a time.
    • Before weighing, make sure your scale is tared (set to zero).
  2. Weigh and Scan Containers
    • Place a container with inventory onto the scale.
    • Scan the CloudBox label (RFID, barcode, or QR code).
    • When the “Container Detected” screen appears, CloudBox automatically updates the inventory quantity in the system.
    • You can immediately remove that container and move to the next, just scan and swap each one in sequence.
    • Each time a container is scanned, the new inventory quantity is recorded and saved to the CloudBox database in real time.
  3. Using the Mobile App for Manual Counts
    • Some containers may have easily visible unit quantities that don’t require weighing.
    • For these cases, you can use the CloudBox mobile app on any smartphone or tablet.
    • Tap the Link icon, then select Continue Without Scale.
    • Scan the QR code on the CloudBox label and manually enter the quantity of units in the container.
    • The SKU’s updated quantity will be saved immediately to the CloudBox system.
    • This feature provides flexibility: use the scale for precise weight-based counts, or manually enter data when it’s faster and practical.
  4. Reviewing Your Cycle Count in the Web App
    • After completing your cycle count, open the CloudBox web app.
    • Go to Inventory → Cycle Count.
    • Here you can review the cycle count results and identify any discrepancies between CloudBox data and your compliance system (e.g., METRC, BioTrack, or POS exports).
  5. Reconciling Discrepancies
    • To reconcile, upload a CSV file of your external inventory data.CloudBox will prompt you to map the columns to match its database.

      1. Example:
        • Product → Name
        • Tracking ID → External Package ID (METRC/BioTrack)
        • Current Weight → Weight Mode Column
        • Units → Unit Count Column
    • If you used the CloudBox CSV template, the mapping happens automatically.
    • You can also set a discrepancy tolerance threshold if minor variations are acceptable.
      1. For instance, if a SKU has 20 units and you set a 10% threshold, CloudBox will only flag discrepancies greater than 2 units.
    • Once mapped, click Start.
    • Discrepancies will appear instantly allowing you to reconcile, export, or start a new count as needed.

  • Always tare your scale before weighing each new container.
  • Group containers by product type or location to improve efficiency.
  • Use the manual entry option in the mobile app for quick visual counts.
  • Double-check METRC or BioTrack tracking IDs to ensure proper data mapping.
  • Keep your tolerance thresholds realistic, tight enough to catch issues, but flexible enough to avoid false flags.
  • After reconciling, export your updated count report and store it for compliance or internal records.
