Introduction

In this section, you’ll learn how to perform a cycle count using the CloudBox Link tablet app for cannabis businesses. CloudBox makes it easy to update your real-time inventory across all containers and SKUs while syncing directly with systems like METRC or BioTrack. This process helps you identify discrepancies quickly and keep your compliance reporting accurate.

Step-by-Step Tutorial

  1. Prepare for Cycle Counting
    • If removing containers from shelves, do so in small groups rather than one by one to stay organized and efficient.
    • Before weighing, ensure your scale is tared (set to zero).
  2. Weighing and Scanning Containers
    • Place a container with inventory on the scale.
    • Scan the CloudBox label (RFID, barcode, or QR code) attached to the container.
    • Once you see the “Container Detected” screen appear, CloudBox will automatically update the inventory quantity in real time.
    • You can then swap containers quickly: simply remove the container from the scale, place the next one on, and scan the next label.
    • Each scanned container automatically saves its updated unit or weight value in the CloudBox database.
  3. Manual Entry (No Scale Needed)
    • Sometimes, you may encounter a container where the quantity is easy to identify without weighing (for example, sealed packages or small batches).
    • For these cases, open the CloudBox app on your tablet or mobile device.
    • Tap the Link icon, then select Continue Without Scale.
    • Scan the QR code on the CloudBox label and manually type in the quantity of units for that SKU.
    • CloudBox will save the new unit count instantly.
    • This gives you flexibility: choose between manual entry for quick updates or use the scale for automated precision.
  4. Reviewing and Reconciling Cycle Counts
    • Once your cycle count is complete, open the CloudBox web app and navigate to Inventory → Cycle Count.
    • This section displays your completed count alongside any discrepancies between CloudBox data and your METRC, BioTrack, or POS system.
    • To reconcile, upload your external inventory CSV file.
    • CloudBox will automatically map the columns if you used our template.
    • If you’re using a file exported from systems like METRC, or BioTrack, you may need to manually map:
      1. Product → Name
      2. Tracking ID → External Package ID (METRC/BioTrack)
      3. Current Weight → Weight Column
      4. Units → Unit Count Column
  5. Adjusting Tolerances and Resolving Discrepancies
    • You can apply a discrepancy tolerance threshold to avoid flagging small differences.
    • For example, if a SKU has 20 units and you set the tolerance to 10%, CloudBox will only flag discrepancies of 2 units or more.
    • Once mapping and tolerance settings are complete, click Start.
    • CloudBox will display any discrepancies found and allow you to reconcile, export, or start a new count.

Tips & Tricks

  • Always tare your scale before weighing each new container.
  • Group containers by product type or location to improve efficiency.
  • Use the manual entry option in the mobile app for quick visual counts.
  • Double-check METRC or BioTrack tracking IDs to ensure proper data mapping.
  • Keep your tolerance thresholds realistic tight enough to catch issues, but flexible enough to avoid false flags.
  • After reconciling, export your updated count report and store it for compliance or internal records.
