Section 3: New Container & SKU Setup Guide

Introduction

Welcome to the CloudBox Link tutorial for setting up a new container and SKU in the desktop or web app version for cannabis businesses. In this section, you’ll learn how to properly attach RFID or barcode labels, weigh your containers, and link them directly to your state compliance system, such as METRC or BioTrack. This ensures every container is accurately tracked for both internal operations and regulatory reporting.

Step-by-Step Tutorial

  1. Once your scale is connected and weight readings are visible in the CloudBox Link interface, begin by selecting a Room to start the inventory cycle count process.
  2. Rooms represent automation zones that help track where your containers are located or which stage of production they’re in. Selecting a room automatically triggers the custom automations you’ve configured in the CloudBox web app (see Section 5: Navigating the Web App).
  3. Attach a CloudBox label—either RFID or barcode—to the container you want to set up.
    1. When possible, position the label higher on the container to minimize interference from the metal scale surface.
  4. Before weighing, ensure the scale is teared (set to zero). Place the empty container on the scale to capture the raw container weight.
    • If the container has a lid and you plan to perform inventory counts with the lid on, weigh the container with the lid attached so that future counts remain accurate.
  5. Once the raw empty weight is recorded, scan the CloudBox label using your RFID reader or barcode scanner.
    • When the app displays “Container Not Found,” select Yes to create a new container record.
  6. At this stage, CloudBox will prompt you to either select an existing SKU or create a new one.
    • If this is a new product, click Add New SKU.
  7. Enter the SKU name and assign an expiration date if the inventory is perishable.
  8. If your business uses METRC or BioTrack, scan the compliance label at this stage. CloudBox will automatically pull SKU data directly from the compliance tag, pre-filling your container’s product name, license number, and other required details.
    • This saves time and ensures your inventory setup stays synchronized with state systems.
  9. Choose whether this container will use Weight Mode or Unit Mode:
    • Weight Mode: Tracks inventory by total weight—ideal for bulk flower, concentrates, or packaged goods. Once selected, setup is complete.
    • Unit Mode: Tracks by item quantity—ideal for pre-rolls, edibles, or packaged units. To enable, click Enable Unit Weight.
      • Insert 5–10 sample units into the container and enter the number of items added. Click Calculate to allow CloudBox to automatically determine the average unit weight for accurate cycle counts.
  10. Once verified, click Done to complete setup. Your container and SKU are now live in CloudBox and automatically synced to your METRC or BioTrack account.

Helpful Tips & Tricks

  • Always place labels higher on containers to minimize RFID interference from scales or metallic surfaces.
  • Weigh containers with lids on if that’s how they’ll be used during future counts to ensure consistency.
  • For unit-mode products, using 10 sample units increases the precision of your average unit weight.
  • Scan the METRC tag before naming the container—this auto-populates critical data and saves manual entry.
  • If an item doesn’t sync properly, verify your METRC or BioTrack credentials under the Settings tab in the web app.
  • Use Rooms strategically to reflect your facility’s physical zones (Grow, Vault, Packaging, etc.) so CloudBox automation mirrors your real-world workflow.
  • Review your Integration Comparison in the mobile or web dashboard to quickly spot any discrepancies between CloudBox and your compliance system.
