Overview

Every cannabis batch sold legally has been tested by a state-certified lab, and the lab issues a Certificate of Analysis (COA) that documents the test results. Operators have to keep those COAs, link them to the right batches, and produce them on demand for regulators, dispensary buyers, and customers who ask.

What Problem It Solves

COAs are scattered across most cannabis operations. They live in email threads, shared drives, individual laptops, the lab's portal, the brand's website, and printed binders. Linking a specific batch on a specific shelf to its specific COA is something that someone on the team has to do by hand.

How It Works

COAs enter Cloudbox in one of two ways. Operators can upload them manually as PDFs, which is the simpler workflow for smaller operations or one-off cases. Operators with direct lab integrations have the COAs flow in automatically when the lab issues them.

Each COA is parsed for the key fields: batch number, SKU, test results (potency, contaminants, terpenes, microbials, and others), test date, lab name, and pass/fail status. Cloudbox links the COA to the matching SKU and batch in your inventory automatically, using the batch number and SKU as the key.

From there, every time someone in your operation looks at a batch, the COA is right there alongside it. The same is true for the dispensary, the regulator, and the customer:

  • Dispensary buyers see COAs attached to the products they're considering.
  • Regulators reviewing your facility see every COA linked to its batch in real time, no PDF hunt required.
  • Customers scanning a QR code on a package land on a page that includes the COA for that exact batch.

Cloudbox also tracks COAs for expiration. Some states require retesting after a certain time period, and COAs that are older than the regulatory window get flagged so the team can pull or retest the affected batches before they become a compliance problem.

How Cloudbox Does It Better

Other COA management tools store the documents but leave the linking to humans. Operators upload COAs into the tool, then go batch-by-batch matching documents to inventory entries. The tool makes the storage cleaner, but the work isn't actually less.
